Hubdoc is hard to beat on price
Hubdoc is included free with paid Xero subscriptions. If you're already on Xero Standard or Premium, you have Hubdoc whether you use it or not. For low-volume Xero users with disciplined receipt forwarding habits, Hubdoc is genuinely fine and there's no need to pay for anything extra.
Where Hubdoc starts to feel limited
Three patterns lead small businesses to look elsewhere.
First, the forwarding model. Hubdoc relies on a unique forwarding address you set up rules to forward to. It works, but only as well as your discipline. The receipt you took a photo of last Friday and meant to forward later this week? Not captured.
Second, cloud drives. Modern small businesses store a lot of receipts in shared Google Drive and Dropbox folders. Hubdoc has some connectors but they are not real-time and require user action to use. TidyBooks watches the folders.
Third, multi-channel capture. WhatsApp groups for staff submitting receipts on the go are a real surface where receipts live today. Hubdoc does not pull from them; we do.
Cost vs. capability
If you forward every receipt and use only Xero, Hubdoc costs you nothing and works fine. If your receipts arrive across email, drives, and messaging, and you'd rather not forward each one, TidyBooks pays for itself in saved time and recovered deductions almost immediately.
A note on workflow
Both tools are capture-first. Neither pays bills for you. Both push the cleaned document to your accounting system (Xero in Hubdoc's case; Xero, QuickBooks, and others in ours). Your bookkeeping workflow stays in the accounting system. The capture layer is the surface area underneath.
Honest summary
Hubdoc is the right answer if you're a small business already on Xero, your receipt volume is low, and your team is disciplined about forwarding. TidyBooks is the right answer if your receipts arrive across many channels and you want automation without the forwarding step. Many of our customers come from Hubdoc; some go back. We're fine with that.
